Travelling with us

Taking care of clients from around the world has always been a pleasure; we have experienced possible travel scenarios and arrangements. Our knowledge and dedication allows us to prepare the ultimate travel experience for all our clients. All our trips are based on full board basis except the arrival and departure dates. Note that the company reserves the right to vary safari services based on client wishes and circumstances that might prevail during the coordinating of the safari trip like road closures, problems with the hotels where alternative arrangements will be done.

Personal Packages – Tailormade Trips

Those who are planning on travelling as a private group or individuals, these packages are made for you. The dates and itineraries are flexible to suit your travel plans. The tours are customized for you and itineraries on the website can be a starting point for you to design your complete trip.

Group Trips

The more the merrier on the trips, what better way to create and make new friends than on group tours! These have set dates and itineraries and open to everyone on a first come first serve basis. Our group trips officially begin at our tour destination – you may choose when and how to reach the start of our tour, or you can leave it up to Classic Travel. We work with you to organize the travel logistics that suit your requirements.

Tour Pricing

All the tour packages are listed based on a per person basis, sharing accommodation (unless otherwise stated). We reserve the right to correct errors in both advertised and confirmed prices; we shall do so once the error has been cited. All tour prices references will be confirmed by email at the time of the booking or reservation and comprise of the below logistics.

There are always uncertainties during travel trips, delayed flights, missed connections, mixed up bookings. In this case we provide assistance from the time we get to know about the issue and make necessary arrangements so that you can start your trip or join your group. Participants are provided with all the necessary contact information to reach emergency hotline for assistance. Be rest assured, Travelers Link Africa will go the extra mile to make sure any travel issues are addressed immediately and promptly.

Flight Information

Travelers Link Africa offers a wide range of flexible flying options to your travel destination, you may also choose the following options:

Flights to Uganda are available from Emirates, Qatar Airways, Turkish Airlines, Brussels Airlines, KLM, Egypt air, Ethiopian Airlines, Etihad Airways, South Africa Airways and Kenya Airways.

Flights within Uganda are offered by Aerolink which operates twice daily flights between Murchison Falls, Kibale Forest, Queen Elizabeth, Bwindi and Kidepo. Fly Uganda also offers scheduled flights to Murchison Falls, Kibale Forest, Queen Elizabeth, Bwindi and Kidepo.

Flights to Rwanda are available from KLM, Kenya Airways, Brussels Airlines, Qatar Airways, Turkish Airlines, South Africa Airways and Ethiopian Airlines.
Helicopter transfers within Rwanda can be arranged daily to Volcanoes Virunga Lodge and other destinations.

Flights within East Africa are operated by Kenya Airways, Precision, Coastal Aviation, Air Uganda and Rwandair, making the connection between Uganda, Rwanda and the savannah plains of Kenya and Tanzania easier than ever before!

How to book a tour

To make a trip Reservation, we shall require your collaborative support to make this a success!

Search for your preferred tour

The website is a starting point to design your vacation tour; alternatively, you can contact us directly or request your own customized vacation.

Reservations

To make reservations for your adventure holiday, we shall require you to fill up a reservation form to get more details into your preferences. Once we have received this form, we shall go ahead and work on the reservation. We will contact you directly to discuss details such as availability, dates, and price. We will also work with you to prepare the travel arrangements (i.e. round trip flights, transportation, airport assistance).

Travel Insurance

As part of the reservation process, we offer travel insurance to all our clients upon request, we do encourage our clients to have medical travel insurance during their vacation tours and it is affordable. You can purchase this through us or with any other insurance retailer.

Deposit

To secure a booking we require a deposit of 20% of the tour price and full payment for some activities that require full payment at the time of the booking, this includes gorilla permits . If your travel starts within 40 days of booking, full payment will be required at the time of booking. To avoid disappointment of some of the logistics filling up quickly, it is advisable to guarantee your choice of tour and departure date as early as possible.

Final Payment

A final invoice will be sent to you a month before departure. This must be paid no later than 14 days before departure.

Cheque, Debit & Credit Cards

You can pay the deposit and final invoice by cheque, credit or debit card. We accept Visa Cards. A credit card fee of 5% is payable on all transactions.. Cheques should be made payable to Travelers Link Africa Ltd. 

Booking Terms and Conditions

Trip Cancellation and Refund Policy

All cancellation for the tour must be made in writing and be acknowledged by the company in writing by email. The cancellation fees applicable will be based on the date on which the request to cancel is received by the company. The cancellation fees are expressed as a percentage of the total tour price, excluding airline flight purchases whose cancellations are managed by the airline’s reservation and based on their cancellation policy).

  • Cancellation 70 or more days before the trip: return of deposit, less $30 for office fees.
  • Cancellation 69-50 days before departure: Loss of entire deposit.
  • Cancellation 49-31 days before departure: 50% of cost of services booked.
  • Cancellation 30-15 days before departure: 70% of cost of services booked.
  • Cancellation less than 14 days before departure: 100% of cost of services booked.
  • No refunds will be given by Travelers Link Africa for partly used services or for no shows

We highly recommend purchasing travel insurance to avoid these possible expenses! If you did not purchase cancellation insurance, we’ll try our best to limit your losses (e.g. transferring your deposit to a future trip with Travelers Link Africa).

Transportation

We do ensure that our clients travel in the most comfortable way during the safari trips. All the safari vehicles- Omnibuses and Landcrusiers are enhanced with pop up roofs to enhance game and scenic viewing during your safari and ensure that they are roadworthy. Our safari guides are trained and knowledgeable to handle any unforeseen circumstances that might happen in the field like breakdowns or punctures due to the nature of the roads in the national parks.

Complaints

We are hands on people and would like to handle complaints as soon as possible, please reported to travelers Link Africa at the time of the incident by telephone and followed up by email not later than 30 days after the incident has occurred. We shall acknowledge the complaint and endeavor to get to the bottom of the problem by contacting relevant service provider thereafter giving you feedback as soon as possible. We shall aim to get resolutions though we cannot guarantee satisfaction of complaints for services and products outside of our control.

Medical requirement

Please ensure that you meet the immunization, inoculations and medical regulations of the travel destinations. It is your obligation to have good physical and mental health that is vital for the enjoyment of the tour activities.   Do notify us if any participant requires regular treatment or may be affected by vigorous activity, high altitude, cold, heat or other nature phenomenon or particular foods in advance before the travel.

Jurisdiction

Travelers Link Africa is incorporated in the republic of Uganda and operates under the laws and regulations of Uganda.

Liability

Travelers Link Africa will ensure that all the trip arrangements we have agreed to as part of our contract with you are provided with reasonable skill and care. We accept responsibility for what our employees, agents, suppliers and sub-contractors do or do not do (provided they were at the time carrying out work authorized by us).

We will not take responsibility for any service provided which is not part of our contract or agreement with you. This includes any additional services or facilities that are provided for you outside your itinerary and we have not agreed to arrange them as part of our contract. Any optional excursions or activities booked during your holiday do not form part of our contract as these are all arranged for you directly by the suppliers concerned.

We will not be responsible for any injury, illness, death, loss of possessions, damage, expense, cost or other sum or claim of any description whatsoever which results from any of the following: –
the act(s) and/or omission(s) you or any member(s) of your party or the act(s) and/or omission(s) of a third party not connected with the provision of your trip and which were unforeseeable or unavoidable or ‘force majeure.

If there are particular services which gave rise to a claim and promises made to you not fulfilled as agreed per contract, the laws and regulations of the country in which your claim or complaint occurred will be used as a basis for deciding whether the services in question had been properly provided. Please bear in mind that standards like service delivery, safety, hygiene and quality may vary throughout the destinations.
We will not be liable where an event which we or the supplier of the relevant services could not have foreseen or avoided even with all precaution taken. Any claim must be notified to us in accordance with the complaints procedure.

Force Majeure

It’s unfortunate that we cannot pay compensation or accept liability where the performance or proper performance of our obligations is prevented or affected by any event which we or the supplier of the service(s) in question could not foresee or avoid. These events include war or threat of war, riots, civil strife, border closures, unexpected government acts, terrorist activity, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical and/or mechanical problems to transport, road closures, disease and all similar events beyond our control.

Primate permits

Acquiring primate permits will only be possible when payment has been received for the relevant national park.

Only when payment has been received can permits for gorilla tracking in the relevant National Park be purchased. Acquiring gorilla or chimpanzee permits is based on a first come first serve basis and future availability is never a guarantee and neither is viewing them. We do endevour to obtain a refund from the relevant authority in causes where gorilla and/or chimpanzee viewing is cancelled, whether it is closure of the national Park or borders; absence of the gorillas and/or chimpanzees; security changes. Note that refunds are at the discretion of the relevant authority and we cannot accept liability for them.

Confidentiality and Communication

Travelers Link Africa will take responsible and necessary steps to protect your personal information. To make sure that the reservation process moves swiftly, we need certain personal information to help us provide you with a more personal service. This information will include, where applicable, the names and contact details of party members, credit/ debit card or other payment details and special requirements such as those relating to any disability or medical condition which may affect the chosen trip arrangements and any dietary restrictions which may disclose your religious beliefs. If we need any other personal details, we will inform you before we obtain them from you.

From time to time, we do have updates on special offers, new features that we think will be of interest, all details you give us in connection with your booking will be kept by us but we will use only names and contact details for marketing purposes (unless you have indicated that you do not wish us to do so). If you do not want us to do any or all of these things, please let us know as soon as possible.

We do like to store some memories of our safari trips and from time to time, the tour guides and suppliers may take photographs and video footage of trips in progress, including pictures of our customers. These pictures may be used in future marketing materials. Kindly let your tour guide know if you do not wish for your family to be filmed or for your pictures to be taken or used in this manner.

Required Documentation

Trip participants must be in possession of a valid passport, any applicable visas, and their insurance policy. Passport must be valid 6 months after the return date. It is highly recommended that participants have at least two photocopies of these documents. The trip participant accepts full responsibility for obtaining all such documents and is responsible for any adverse consequences resulting from missing or defective documentation. Visa requirements change frequently and are dependent upon your nationality and your destination. We will notify you during the reservation process of what will be required – if not, be sure to ask us!

 Travel Documents Issued by Travelers Link Africa

No later than two weeks prior to departure, all trip participants will receive via email an information pack that contains flight tickets (if purchased through Travelers Link Africa), a detailed trip itinerary and a list of suggested items to bring.

Travel and Medical Insurance

Many things can happen during or before your travels that are out of your control – incidents like medical emergencies, trip delays and interruptions, missed connections, trip cancellation due to unforeseen circumstances, and loss of baggage or personal possessions. We do encourage our clients to protect themselves from these potential misfortunes with travel insurance before embarking on a safari trip – it’s well worth the investment! Please ensure your documentation shows you as the named policy holder and validity is for your duration of the safari trip including covering medical expenses and emergency repatriation in the event of illness or injury. If you do need help with this, please let us know. Please ensure that a 24 hour contact telephone number for your Insurance Company is written on your documentation in case of an emergency.
